Weekly Hours

Events Media Services provides specialized media services, equipment, and operators for non-classroom activities and special events in NYU facilities as a fee for service.

All events are referred to the Special Events Supervisor who will evaluate your order and contact you, if necessary. The Special Events Supervisor will be available to answer questions, survey locations, arrange for outside assistance, and consult with you regarding your event. We partner with NYU TV Video Production Services when events require video recording or live streaming.

Non-NYU Events Services

We do provide services for external clients, however, a different rate is charged to all external clients, non-NYU affiliated events servicing and support requests. Please call us for additional information +1 212 998 2655.

Datelines for Event Requests

Events starting at 8AM weekday and weekends must be preset the night before the event. The event requester must arrange for Event Media Services to have access to the event location for the preset.

Please note that Event Media Services reserves the right to not accept or reject any event that does not abide by the time requirements below.

Weekday Events

All equipment and service reservations must be requested with a minimum of 2 business days prior to the actual event’s date.

Weekend Events

All requests must be made at least 5 days prior to the event’s date.

Cancellations

Weekday Event Cancellations

For any event cancellation, we require a four-hour minimum notice before the event’s start time (Our office hours are: Mondays through Thursdays 8AM to 10PM, Fridays 8AM to 7PM)

Weekend Cancellations

For weekend scheduled events we require cancellation by Friday before 4PM or charges for the reserved event will be applied.

Late Reservation

Due to the high volume of requests for our services, any last-minute requests for Events servicing/ equipment may require that the equipment is offered as a pick-up service only if possible. Additional charges will apply to all “rush orders”.

Events Billing

Account Number is required for all Events servicing and support requests. For our external, Non-NYU affiliated client please make checks out to “NYU”.

Pick-Up Service

Some of our equipment is offered as pick-up equipment and in some cases as self-service only; this requires that users come to our office for all pre-booked equipment and demos. Pick-up only equipment includes laptops, small speakers and microphones and self-service digital camcorders.

Campus Media is located in the lower level of the Silver Center Building, 100 Washington Square East, Room LL7A.

Events Consultation

Large events require a consultation and walkthrough of the event location.

Video Camera Services

While we do provide digital video camcorders, Events Media Services does not provide operators for videotaping of events. All our digital camcorders are booked as self-service/use equipment.
